Compress PDFs for Different Destinations

Email, chat apps, portals and cloud storage each handle PDFs differently. Here's how to fit them.

Where you're sending a PDF changes what "small enough" means. An email provider, a job-application portal, a messaging app and a cloud-storage link all enforce different limits — and some don't limit size so much as how the file is shared. This cluster matches the destination to a sensible mode so you're not compressing blind.

A useful habit: find the destination's real rule before you compress. A portal usually states its per-file cap right on the upload screen; a mail provider's limit is "typical and may vary" by account. Sizing to the actual rule saves you from over-compressing a file that already fit, and from under-compressing one that was always going to bounce.

When a readable file cannot fit, check whether the destination accepts separate parts or an approved sharing link. Link delivery has its own storage, permissions, expiry and access rules; it does not remove every size or policy constraint. Use the workflow the recipient actually permits.

Why does the same PDF work in one app but not another?
Each platform sets its own limit, and some count the whole message or re-compress uploads. Size for the strictest destination, or share a link to sidestep the limit.
Is a shared link better than an attachment?
A link can deliver the original when an attachment will not fit, if the recipient accepts it. Check storage rules, access permissions and expiry; link delivery has its own constraints.
