Compress PDFs for Email

Get a PDF under your provider's attachment limit without guesswork.

An email size error can refer to the combined attachments or to the encoded message. Read the provider or administrator rule before compressing: one PDF may fit on its own while the addition of photos or a spreadsheet pushes the total over the allowance.

Personal Gmail and Yahoo currently publish 25MB totals across attached files; managed accounts and receiving servers can impose different rules. Use the linked email guides for the official sources, and confirm the recipient's actual limit when delivery matters.

MIME encoding can add overhead, but an attachment limit and an encoded message limit are different rules. Do not subtract a third from every provider's advertised allowance. Leave room for other files and check the compose screen; a numbered mode is a best-effort target, not a delivery guarantee.

My PDF fits but the email still bounces — why?
The limit is almost always for all attachments combined, not each file. Send the PDF in its own message, or compress the other attachments too.
Will the recipient be able to edit the PDF?
A rasterised copy loses live text, links and forms. An original kept unchanged retains those features. Send an approved source copy when editing or text extraction is required.
